Office Services

Scheduling:

Much of the day is saved for same day appointments for acute illnesses and minor injuries. You can lessen your wait by calling and scheduling a same day appointment. We encourage our patients to be seen at Dakota Pediatric Clinic for urgent problems so that your child receives consistent care by a provider that knows your child. Please schedule an appointment for each child you want seen so appropriate time is saved for each child. Walk-ins for uncomplicated illnesses/injuries are available, and we will make every attempt to work that visit in–between scheduled patients.

Please schedule appointments for well child checks and less urgent problems. Please schedule 1-3 weeks in advance in order to obtain your preferred day and time.

**Remember, the well child questionnaires are available online to download and complete prior to your visit!

Telephone calls:

Parents can contact the clinic nurse during office hours for questions and advice. These calls are not billed. Calls handled by the physician/nurse practitioner that replaces an office visit are billed. This includes calls that involve discussions of complicated patient management or medication prescriptions. Coverage for these telephone consults vary by insurance company. Routine telephone calls by physicians/Nurse Practioner’s regarding recent office visits are not billed. Providers return phone calls between scheduled office visits and at the end of the day.

Prescriptions:

Please call our office for prescription refills during office hours only. You should allow 48 hours for medication refills including ADHD and asthma medications.

Telephone calls after hours:

Dakota Pediatric Clinic provides access to Children’s Physician and Hospital Triage Nurses’ Line. We have contracted for the service so that our parents will receive reliable and accurate information and advice for their children. We encourage you to call the clinic number after hours to be linked to this triage line. The nurse can always reach a Dakota Pediatric Clinic provider if needed. The triage line can help you determine if your child needs urgent care at an emergency room or an urgent care center.

Billing

Dakota Pediatric Clinic will bill your insurance company for services rendered. However, you are responsible for paying any co-pay or deductible required by your insurance contract. Your insurance company requires that we collect co-pays at the time of the office visit. Please contact our business office with any question regarding your accounts at 952-431-7625.

Other health plans are accepted; check with our office to see if your insurance is accepted. Please check with your insurance provider also to verify coverage if there are questions.

Medical Records

New patients

Please request copies of each child’s medical records before your first appointment with us if possible. If your child has had multiple providers, you may need to request copies from each provider’s office. Each health facility can only release records generated by that office. You may find it convenient to have records sent directly to you so that you can make copies for future providers. Please bring the medical records with you to your first office appointment.

Requesting Dakota Pediatric Clinic Records

To ensure privacy of patients and their families, and to comply with federal regulations, parents or guardians must sign an Authorization to Release Medical Records form before records can be released. If the patient is 18 years or older, he or she must sign the form. Processing of the request can take up to 14 working days. By law, Dakota Pediatric Clinic cannot release records created by other health providers. Please note, if you are requesting copies of records for your personal use, you may be charged for these records.
